Welcome to the HCPA Website Operations Training Academy. In this course we will practice the daily tasks that keep association information accurate and accessible. We will work with the same public pages and staff tools used by HCPA personnel. Every example uses demonstration information, not real member or payment details.
Voiceover 002
From the HCPA homepage, locate About HCPA, Membership, Community, Events, and Business. These public areas help visitors learn about HCPA, find events, join the association, or explore businesses. Staff should review the published result after completing an approved task.
Voiceover 003
Members use Member Login and My Account to access their own membership information and eligible benefits. They do not use the staff entrance simply because they belong to HCPA. A member account and a staff account have different purposes.
Voiceover 004
Authorized HCPA personnel use the branded Staff Login to reach the protected Administration Portal. The portal provides tools for membership, events, images, business submissions, and other approved activities. The available functions depend on each person’s assigned permissions.
Voiceover 005
Each training module includes a guided demonstration and a short knowledge check. Review the visuals carefully, then answer three True or False and two Fill-in-the-Blank questions. A score of at least eighty percent completes that module. You may revisit a lesson and try the quiz again.
Voiceover 006
Open the HCPA Staff Login page at hcpassoc.org/hcpa-staff-login. Confirm that the page displays HCPA branding before entering your account information. Use your own assigned staff account. Do not use someone else’s credentials or display passwords during demonstrations.
Voiceover 007
Enter your username or email and password. Select Remember Me only on a private device you trust. Choose Sign In to Administration Portal. When access is authorized, the protected portal opens.
Voiceover 008
If you cannot see a particular tool, it may not be assigned to your role. Membership and financial responsibilities can differ between staff members. Do not attempt to work around an access restriction. Request help from the designated HCPA contact or Elate support.
Voiceover 009
When your task is finished, use the portal Sign Out control. Confirm you are returned to the staff login page. On shared computers, never leave a signed-in session unattended. Always use separate individual accounts.
Voiceover 010
After signing in, review the Administration Portal before making changes. Its navigation buttons move you to operational sections on the protected page. A single portal can support several kinds of association business.
Voiceover 011
Use Give2Serve and Education for community and scholarship imagery. Use Events or Past Events for event records. Use Business for directory submissions and Membership for membership administration. Sponsorship Approval is available to authorized personnel.
Voiceover 012
On a phone or narrow window, the portal navigation may scroll horizontally. Swipe or scroll to reach the section you need. Tap the correct heading and confirm that its content appears before taking action.
Voiceover 013
For content that visitors can see, use a separate browser tab to open the appropriate public HCPA page. Confirm that the approved image, event, or business information is displayed as intended. Review readable text and layout on mobile when practical.
Voiceover 014
A prospective member begins on the public HCPA membership pages and uses the Membership Application process. Staff are responsible for reviewing information through the approved HCPA membership tools. This lesson shows the staff side of that journey.
Voiceover 015
From the Administration Portal, choose Membership or the approved membership administration shortcut available to your role. Search for the applicant or membership record using the information provided. Never handle an application through a public page as if it were a staff review screen.
Voiceover 016
Review the submitted member name, contact details, requested membership level, and available status or payment information. Apply HCPA’s current approval requirements. If a record is incomplete or needs clarification, follow the association’s established review procedure rather than guessing.
Voiceover 017
Record the outcome using only the tools your role permits. Follow the approved communication procedure for missing details or next steps. Confirm that the membership record reflects the action taken, and protect the applicant’s personal information.
Voiceover 018
Open Membership in the portal. Use the search box to look for a member by name or email. If necessary, narrow the view with membership-level and status filters. Use fictional names in the video to protect privacy.
Voiceover 019
Review the member’s level, current status, start date, and expiration date where those fields are available. Make sure you understand the displayed record before taking further action. A member can have an upcoming expiration without already being expired.
Voiceover 020
Select the search and filters for the group you need. Confirm that the displayed results are correct, then choose Download PDF. The export reflects the currently filtered results. Use Clear when you need to restore the full roster.
Voiceover 021
Membership expiration reminders and staff renewal summaries serve different purposes. The summary helps staff spot approaching expirations; a member notice reminds the individual to renew. Do not assume renewal charges happen automatically. Follow up according to HCPA policy.
Voiceover 022
A roster may contain member contact information and should be stored and shared only with authorized personnel. Confirm the intended recipient before sending an export. Avoid placing membership lists in public files or training screenshots.
Voiceover 023
From the portal, choose Events for a current or upcoming event. The public Events page is where visitors discover the result. Avoid creating separate competing copies of the same event.
Voiceover 024
Begin with an accurate event title and category. Enter its date, available start and end times, location, and clear description. Verify the registration or ticket link, as well as admission or cost information when applicable.
Voiceover 025
Select the approved event poster or promotional image. Confirm that the artwork is legible and reflects the correct event. Avoid distorted crops or unreadable text. Review before saving the event through the portal.
Voiceover 026
Use the available save or submit action according to your assigned permissions. Then open the public Events page to verify the event details, artwork, and destination link. If anything is wrong, return to the approved event entry and correct it.
Voiceover 027
Use Past Events for historical programs and event archives. Check whether the event already exists before adding a new record. An event that has just passed may already be represented by its original listing. Avoid duplicate entries.
Voiceover 028
Use the event title, historical date, approved photographs or poster, and accurate description. Review the appearance of the content on the public Events experience. Make sure that a past event is clearly identified as historical.
Voiceover 029
For events offering ticketing, follow the event from the public listing through the provided registration or ticket link. Explain what the visitor sees and where they can confirm the event, amount, and order information. Never demonstrate with actual card data or create unapproved charges.
Voiceover 030
Authorized staff can check permitted order or registration information as part of event operations. If the displayed details do not match the event, pause and report the discrepancy rather than changing restricted payment settings. Document the event name and what the visitor experienced.
Voiceover 031
Eligible active Business or Corporate members can reach Submit Business Profile through the member experience. A submitted profile is not automatically a public listing. Staff review is the quality-control step.
Voiceover 032
Open Business from the Administration Portal. Find the submission requiring attention. Verify the business name, category, description, city or location, phone, email, website link, and supplied logo or image where available.
Voiceover 033
Approve a complete and eligible listing according to HCPA policy. If details need correction, hold or return the listing through the available workflow. Do not approve a listing just because it has been submitted. Only remove a listing when the association has authorized that action.
Voiceover 034
After approval, open the public Business Directory. Search for the business and check its title, category, location, image, and link. Confirm the listing is readable on mobile. Public visitors should see approved records, not submissions waiting for review.
Voiceover 035
Open the portal and select Give2Serve for community-service activities or Education for education and scholarship imagery. These two areas feed different public pages. Select the correct destination before uploading anything.
Voiceover 036
Choose an approved JPG, PNG, or WebP file. Confirm that it is appropriate for public display and that the association has permission to use it. Preserve the original image proportions and avoid unnecessary distortion.
Voiceover 037
Enter a caption describing the activity, people, or program in a respectful and factual way. Keep the wording accurate and avoid publishing sensitive information. Upload the image through the corresponding portal form.
Voiceover 038
After upload, inspect the relevant Give2Serve or Education public page. Check that the image and caption appear in the correct section. Remove incorrect or obsolete content only when you are authorized to do so.
Voiceover 039
Visitors can explore HCPA sponsorship opportunities, send a sponsorship inquiry, or use the donation experience. These public forms start a transaction or request. Staff must distinguish a visitor’s inquiry from a completed organizational decision.
Voiceover 040
Authorized staff enter the Sponsorship Approval area. Check the sponsor contact information, requested level or arrangement, logo or materials, and notes. If details are missing, follow the HCPA process for clarification.
Voiceover 041
Confirm whether payment is required, pending, completed, or not applicable. A payment receipt does not by itself mean HCPA has approved public sponsor recognition. The association’s designated decision maker must apply the appropriate approval status.
Voiceover 042
After authorization, review the sponsor recognition on the public website. For donations, use only the transaction-viewing permissions assigned to your role; do not expose donor or payment details in lessons. Report mismatches to the appropriate HCPA staff member.
Voiceover 043
This module is for staff specifically designated to handle HCPA financial records. Membership dues, donations, sponsorship transactions, and tickets may generate orders or receipts. Confirm that your assigned role permits access before continuing.
Voiceover 044
Use the financial records access provided to your role. Search for a transaction using an approved reference such as order number or purchaser name. Verify the transaction type, amount, date, and recorded status before communicating an outcome.
Voiceover 045
A payment may be completed while a membership application, sponsorship request, or other review remains pending. Do not treat the order status as proof that every associated activity has been approved. Check the corresponding association record.
Voiceover 046
If a purchaser requests a refund or disputes a charge, follow HCPA’s authorization and recordkeeping procedure. Only a designated financial manager should initiate an approved refund. Never experiment with live payments, payment credentials, or account settings during training.
Voiceover 047
Confirm the recorded amount and transaction status, document discrepancies, and keep receipts accessible only to authorized staff. Escalate unexplained errors or restricted actions to the designated HCPA representative and Elate support as needed.
Voiceover 048
Sign in with your assigned account, select the correct portal section, and review the task before changing any record. Check whether the activity belongs to membership, events, business, sponsorship, or community content. Work only within your assigned permissions.
Voiceover 049
After an approved action, confirm the saved record and check the corresponding public page if the change is visitor-facing. Review spelling, dates, links, and images. If a task is unfinished, record the needed follow-up through HCPA’s normal process.
Voiceover 050
Never publish private membership lists, donor information, passwords, or internal financial details. Use demonstration data when practicing or sharing screenshots. Confirm recipient details before sharing reports or files. Sign out when you finish.
Voiceover 051
If a required action is unavailable, a public result looks wrong, or financial information does not match, document what happened and stop rather than guessing. Contact HCPA’s designated administrator or Elate Web Design & Hosting for technical issues. The purpose of your training is reliable operation, not website repair.
Voiceover 052
You have now reviewed the major HCPA staff workflows. Finish the final quiz and confirm your progress across all modules. Once all modules are passed, the training system will show completion. Return to any module whenever you need a refresher.
